POLICIES AND AGREEMENTS
We do not accept walk-in appointments; sessions are by appointment only.
First-time clients are required to pre-pay for their first appointment.

*When you schedule an appointment with Vitality Health Massage, You Agree To:
You agree you have fully read, understood, and made sure you have asked questions and had all of your questions answered to your complete satisfaction before scheduling an appointment with us.
If you do not agree with any of these policies, please do not schedule a massage session with Vitality Health Massage.
Vitality Health Massage - Office Policy
1. Cancellations & Rescheduling
48-Hour Cancellation Policy
Cancellations or reschedules must be made at least 48 hours before your scheduled appointment.
Appointments canceled with less than 48 hours' notice, as well as missed appointments (no-shows), will be charged the full session fee.
The missed appointment fee may be:

Charged to the card on file.

Deducted from an available membership session, package, or account credit.
If the missed appointment fee is not paid, all future scheduled appointments will be canceled, and any active membership will be placed on hold until the outstanding balance has been paid in full.
Rescheduling

If online booking shows limited availability, please contact us directly. We may be able to accommodate your scheduling needs.

Always keep your appointment confirmation and any cancellation or rescheduling confirmation emails as proof of changes made to your appointment.
Appointment Reminders
Appointment reminders are sent as a courtesy. It is the client's responsibility to know and keep track of their scheduled appointment time.
Failure to receive a reminder by email or text does not waive the cancellation policy or missed appointment fee.

2. No-Shows

A no-show = failure to cancel/reschedule within 48 hours or not showing up.

No-shows will be charged the full price of the session.

All outstanding charges must be paid before booking another session.

3. Late Arrivals
-
Sessions may be shortened if you arrive late.
-
More than 15 minutes late = full session charge, and your therapist reserves the right to cancel your appointment.

4. Sickness Policy
-
Do not attend your appointment if you are sick or contagious—examples: flu, fever, diarrhea, vomiting, skin infections, lice, etc.
-
Cancellation fees apply if notice is less than 48 hours.
-
A doctor’s note may be required before rescheduling in certain cases.

The therapist reserves the right to cancel or refuse service if illness may cause harm.

5. Payment

All payments (sessions, packages, memberships, add-ons, events) are final with no refunds.

We accept Square (Visa, MasterCard, Discover, AmEx) and cash.

6. Purpose of Massage & Scope of Practice

Massage is for stress reduction, relaxation, pain relief, circulation, and mobility—not a substitute for medical care.

Massage therapists do not diagnose, prescribe, or perform spinal/skeletal adjustments.

Always inform your therapist of health changes.
-
7. Privacy
-
All session details remain confidential.
-
Information is only shared with written consent or if required by law.
-
8. Professional Boundaries & Conduct
-
Massage is therapeutic and non-sexual.
-
Inappropriate behavior will result in immediate termination of the session, full charge, and permanent dismissal from the practice.
-
Draping is required at all times. Only the area being treated will be undraped, and client comfort is always respected.

9. Clients Under 18
-
Parent/guardian must:

Sign intake form.
-
Schedule the appointment.
-
Be present at the first session and in the room for all treatments.
-

10. Gift Certificates
-
Expire after 2 years.
-
Non-refundable, no cash value, non-transferable without written consent.
-
Must be presented at time of service.
-
Cannot be split into multiple sessions.
-
If rates increase, client pays the balance.
-
11. Memberships
-
All sales final; no refunds.
-
May be paused or canceled twice during the life of the membership.
-
Unused sessions expire after 6 months once a membership is paused or canceled.
-
Any rollover sessions will expire by the end of the following month.
-
You may substitute your appointment with 48-hour notice.
-
The substitute must complete an intake form.
-
We require their full name, telephone number, and email address so they can be entered into our system and the appointment transferred into their name.

The massage therapist reserves the right to cancel a membership at any time for policy violations.

12. Packages & Credits
-
Packages typically include 3 sessions at a discounted rate.

Expire 2 years from purchase.
-
Credits are non-transferable, non-refundable, and may be revoked for policy violations.
-
Complimentary Credits provided by Vitality Health Massage expire after 6 months.

13. Communication
-
We may contact you by phone, text, or email for scheduling.
-
Reminders are a courtesy, not a guarantee.
-
You may opt out of promotional messages by emailing vhm.massage@gmail.com.

14. Additional Policies
-
Fragrance-Free: Please avoid perfumes, colognes, and scented products.
-
Smoke-Free: Avoid smoking before your session to protect sensitive clients.
-
Arrival: Please arrive 10 minutes early with forms completed. Sessions will end on time even if paperwork delays your start.

15. Session Length
-
Appointment times are reserved specifically for each client based on the session length originally scheduled.
-
Any request to shorten, lengthen, reschedule, or otherwise modify an appointment must be made at least 48 hours before the scheduled appointment time.
-
If a client schedules a longer session (for example, a 90-minute session) and requests to reduce the session length (for example, to 60 minutes or less) with less than 48 hours' notice, the client will remain responsible for the full cost of the originally scheduled session.
-
Likewise, if a client schedules a shorter session (for example, a 60-minute session) and wishes to extend the appointment to a longer session (for example, 90 minutes or more), the request must be made at least 48 hours in advance.
-
Requests to extend a session with less than 48 hours' notice may be accommodated only if sufficient time is available in the schedule and are subject to therapist approval.
-
Approval of a session extension is not guaranteed and will be determined based on appointment availability and scheduling considerations.
-
Additional fees will apply for any approved increase in session length based on the current service rates.
-
By scheduling an appointment, clients acknowledge and agree to this appointment modification policy.

16. Specialty Service Policies: Cupping Therapy & Hot Stone Massage

Informed Consent

Cupping therapy and hot stone massage are optional therapeutic services offered as enhancements to massage treatment. By scheduling or accepting either service, you acknowledge that you have read and understand the information below, have had the opportunity to ask questions, and voluntarily consent to receive the treatment.

You understand that massage therapy, cupping therapy, and hot stone massage are not intended to diagnose, treat, cure, or prevent any medical condition and are not a substitute for medical care.

Cupping Therapy
-
Cupping therapy uses specialized cups to create suction on the skin, which may help reduce muscle tension, improve circulation, and support recovery.

Possible Risks and Side Effects
-
Although cupping therapy is generally well tolerated, possible risks and side effects include:

Temporary circular marks or discoloration that may last several days to two weeks or longer.
-
Bruising.
-
Skin redness.
-
Mild swelling.
-
Tenderness or soreness.
-
Temporary tightness or sensitivity.
-
Lightheadedness or dizziness.
-
Fatigue following treatment.
-
Temporary discomfort during treatment.
-
Rarely, blistering, skin irritation, or minor skin injury.

Cupping Contraindications

Cupping may not be appropriate for individuals with certain medical conditions. Please notify your therapist before treatment if you have:

Pregnancy.

A bleeding or clotting disorder.
-
Use of blood-thinning medications.
-
Diabetes with impaired healing.
-
Cancer or are currently receiving cancer treatment.
-
Fragile, thin, or easily bruised skin.
-
Varicose veins.
-
Active skin infections, rashes, eczema flare-ups, psoriasis flare-ups, or sunburn.
-
Open wounds.
-
Recent surgery.
-
Recent fractures or acute injuries.
-
Fever or contagious illness.
-
Any condition that affects skin integrity or healing.

Hot Stone Massage
-
Hot stone massage incorporates professionally heated stones to help relax muscles and enhance therapeutic massage.

Possible Risks and Side Effects

Although every effort is made to ensure safe stone temperatures, possible risks and side effects include:

Temporary skin redness.
-
Mild soreness or tenderness.
-
Increased sensitivity to heat.
-
Bruising from massage pressure.
-
Temporary lightheadedness.
-
Fatigue after treatment.
-
Rarely, minor burns or skin irritation due to individual sensitivity to heat.

Hot Stone Contraindications

Please inform your therapist before treatment if you have:

Reduced sensation or neuropathy.
-
Diabetes affecting circulation or sensation.
-
Cardiovascular disease.
-
Poor circulation.
-
Uncontrolled high or low blood pressure.
-
Multiple sclerosis or other neurological disorders affecting heat sensitivity.
-
Active skin conditions.
-
Sunburn.
-
Open wounds.
-
Recent surgery.
-
Acute inflammation.
-
Fever or contagious illness.
-
Pregnancy.
-
Any condition that affects your ability to safely tolerate heat.

If the stones feel too warm or uncomfortable at any point during your treatment, you agree to notify your therapist immediately so adjustments can be made.

Client Responsibility

You agree to provide complete and accurate information regarding your health history, medications, allergies, injuries, surgeries, pregnancy status, and any changes in your medical condition before each appointment.

Failure to disclose relevant medical information may increase the risk of injury or adverse reactions and may require modification or discontinuation of treatment.

Your therapist reserves the right to decline or modify any treatment if it is determined that the service is not appropriate or may pose a risk to your health or safety.

Assumption of Risk and Release

By accepting cupping therapy or hot stone massage, you acknowledge that:

You have read and understand the information provided regarding these services.
-
You understand the nature of the treatment, its potential benefits, and its known risks.
-
You have had the opportunity to ask questions, and your questions have been answered to your satisfaction.
-
You understand that no guarantees or warranties have been made regarding treatment outcomes.
-
You voluntarily choose to receive these services and knowingly assume the ordinary and inherent risks associated with them.
-
You agree to promptly inform your therapist if you experience pain, excessive discomfort, unusual heat, dizziness, or any unexpected reaction during treatment.

You release and hold harmless the massage therapist and practice from liability for ordinary risks and expected side effects that may occur when treatment is provided in accordance with accepted professional standards, except where prohibited by applicable law or in cases involving negligence or willful misconduct..
